Artemis Nearshore Marine Consultants Ltd (“Artemis Nearshore”, “we”, “us” or “our”) is the controller of the personal information described in this notice.
We may collect and process: • names, job titles and business contact details; • correspondence and information supplied in enquiries; • client, supplier and contractor records; • information needed to deliver marine consultancy services; • contractual, invoicing and payment records; and • limited technical information generated when you use our website, such as security and server logs.
We do not request or retain payment-card details through this website.
3. HOW WE OBTAIN INFORMATION
Most personal information is provided directly by you when you contact us, instruct us, supply services to us or otherwise correspond with us. We may also receive relevant professional contact or project information from clients, contractors, advisers, public sources or other parties involved in an engagement.
4. HOW AND WHY WE USE INFORMATION
We process personal information to: • respond to enquiries and communicate with professional contacts; • assess, establish and manage client, supplier and contractor relationships; • prepare proposals and enter into or perform contracts; • deliver consultancy services and administer projects; • issue and process invoices and maintain business records; • protect our business, systems and website; and • comply with legal, regulatory, tax and accounting requirements.
Our lawful bases are: • contract — where processing is necessary to take steps at your request or perform a contract; • legal obligation — where the law requires us to process or retain information; • legitimate interests — where necessary to operate and protect our consultancy, manage professional relationships and respond to business enquiries, provided those interests are not overridden by your rights; and • consent — where we specifically ask for it. You may withdraw consent at any time, without affecting earlier lawful processing.
5. SHARING INFORMATION
We may share personal information only where reasonably necessary with: • clients, contractors and professional advisers involved in an engagement; • service providers supporting our website, email, document storage, IT, accounting or administration; • insurers, auditors, legal advisers and other professional advisers; and • regulators, courts, law-enforcement bodies or other authorities when required by law.
We do not sell personal information.
Where a service provider processes information outside the United Kingdom, we will use an appropriate lawful transfer mechanism and safeguards where required.
6. RETENTION
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, insurance and contractual requirements.
As a general guide: • enquiry correspondence that does not lead to an engagement is normally retained for up to 24 months; • client, project, contractual and financial records are normally retained for up to six years after the relevant engagement or financial period; and • information may be retained longer where required by law, a regulator, an insurer or an actual or potential legal claim.
Information that is no longer required is securely deleted or destroyed.
7. SECURITY
We use proportionate technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. No internet transmission or electronic storage system can be guaranteed to be completely secure.
8. WEBSITE AND COOKIES
Our website may use cookies that are strictly necessary for security and basic operation. We do not currently use the website to collect enquiry forms, provide embedded media or run active analytics tracking.
If optional analytics, advertising or similar cookies are introduced, we will update this notice and request consent where required before using them.
9. YOUR RIGHTS
Depending on the circumstances, you may have rights to: • receive a copy of your personal information; • correct inaccurate or incomplete information; • request deletion of your information; • restrict how your information is used; • object to processing based on legitimate interests; • receive or transfer certain information in a portable format; and • withdraw consent where processing relies on consent.
Some rights are subject to legal conditions or exemptions. To exercise a right, email contact@artemisnearshore.co.uk or write to the registered office above. We will normally respond within one month. We may need to verify your identity.
